Tools and services that help your organization’s procurement and contract management practices
Part of maintaining buildings involves sourcing goods and services outside of your organization.
When seeking out goods and services, it’s important that you ensure that you have a comprehensive understanding of your needs. In advance, you’ll need to complete items such a defining the required scope work and timing; identifying the legislative parameters (i.e. permits, inspections); and establishing your available budget.
Depending on the size of your organization procurement can have varying degrees of complexity and financial risk. It is important that housing providers use procurement methods and agreements that are appropriate for the scale of the work, maintain and follow policies/procedures on procurement and understand and enforce the terms of their contracts. Here are some tools to help you improve the procurement and contract management practices in your organization:
The Social Housing Resource Committee (SHRC), a group of 20 provider and property management representatives across Ontario, has developed a series of free templates to assist non-profits with tendering property management agreements.
Co-Op Housing Providers: contact Co-operative Housing Federation of Canada to access templates designed specifically for co-ops
The Asset Management Centre (AMC) has produced a framework of best practices for the maintenance and improvement of community housing buildings. It’s a valuable resource that also includes information on procurement procedures and best practices, proposal evaluation and contract management. Download FRAME
